Inventory and Logistics Co-ordinator
THE ROLE
The Inventory and Logistics Co-ordinator role is our mid-level role into the business. The role will further build upon the foundation of the scientific operations of the organisation, particularly in Material and Sample Management all of which are aimed at ensuring the smooth running of the laboratory practices and delivering high quality data to our customers.
WHAT WE EXPECT YOU TO DO
Procurement Support
• Maintain relationships with Procurement Contractors & suppliers, aiding in the review of supplier performance, arranging on site visits between account managers and relevant Operations personnel to discuss upcoming requirements to ensure best pricing & relevant supply to ongoing needs
• Liaise with the Quality Department to ensure any changes to services or materials are reflected in the criticality assessments of Approved Suppliers
• Obtain quotes from suppliers, liaising with the Procurement Supervisor and Procurement Contractors to ensure best pricing during ongoing partnership.
• Submit weekly orders comprised of minimum stock and order requests with the Procurement Contractor which is reviewed by Senior Management prior to ordering.
Customs Support & Import Licensing
• With aid from the Procurement Supervisor, obtain relevant licenses for purchased materials to ensure timely delivery of goods.
• Support the Procurement Supervisor in the upkeep of the Import License log, renewing relevant licenses once expired/in line with changes in legislation
Invoicing Support
• Work with the Finance department & Procurement Contractors to keep them up to date of goods arriving on premises, allowing them to ensure invoices are accurate when issued.
• Liaise with the Finance departments to address any queries or discrepancies related to invoicing.
Goods-In Materials
• Prepare Material Specifications according to the Scientists instructions adhering to internal SOP’s.
• Follow set instructions in relation to receiving and booking in and releasing of routine and custom materials ensuring accuracy and completion throughout, identifying inefficiencies in current processes and updating them accordingly with support from the Procurement Supervisor
• Undertake checks of expired stock, tacking the value of discarded materials and presenting data to the wider team.
• Review current Material Specifications based on ongoing suitability and use, obsoleting unused specifications to allow easier management of specifications.
Stock Monitoring & Inventory Management
• Perform weekly stock checks and rotations for ordering purposes.
• Support the move of materials from store rooms to the laboratory, updating stock levels within the internal system for accuracy
• Conduct physical stock counts to reconcile discrepancies and present information of accuracy to the Procurement Supervisor/wider Operations team.
• Maintain optimal stock levels to meet demand while minimising costs.
• Using FIFO (First In First Out) principles to ensure efficient stock rotation and minimise waste.
• Maintain the stock room to ensure that there is always a good level of materials available
• Articulate and action ideas which support the organisation and optimisation of storeroom layout to facilitate efficient stock movement and retrieval
Samples
• Receive customer samples, perform review for accuracy, completeness and sample integrity
• Booking samples into LIMS, supported by relevant Study Managers and the Quality Department.
• Support the arranged discard of Customer Samples in line with current procedures alongside the Quality department
• Generate SSF (Sample Submission Forms) with support from Study Managers when required.
Outbound Shipments
• Assist in gathering quotes, sourcing couriers and arranging pickups for outbound shipments, co-ordinating with Study Managers & Quality to ensure timely delivery of samples/materials to customers.
Laboratory Support
• On occasions, prepare routine non-sterile reagents for maintenance.
• Support the Facilities team with maintenance of basic equipment when required.
Compliance
• Ensure adherence to Good Documentation Practices resulting in completed documents, which require minimal revision upon review.
• Lead simple Change Controls to update of current SOPs.
• Contribute to Complex Change Controls of current SOP’s.
• Contribute to the creation of new SOP’s.
Health and Safety
• Ensure compliance of COSHH documentation in support of correct handling and storage.
• Ensure compliance of COSHH documentation in support of disposal of materials and biological waste.
• Adhere to all health and safety policies in the workplace.
• Prepare COSHH and identify risk assessments, supported by the Health & Safety Committee & material requestors.
Learning & Development
• With support from the Procurement Supervisor, identify projects and required training to enhance learning and ongoing development.

We would like you to have the following:
• An enthusiasm for science and a willingness to learn are the key requirements for this role.

• 5 x A - C National 5’s or equivalent (incl. English) is desirable.
• Previous work experience in a Stock Control/Goods in role or similar environment is desirable.
